COMPUTERIZED TRANSCRIPT SYSTEM
CHAPTER ONE
Students’ transcript is the summary of each of the two-year performance either in (ND) National Diploma or (HND) higher national diploma. A transcript is also demanded by a student who has finished ND/HND and wishes to transfer to another school or student who wishes to secure a job. A transcript is not given directly to a student. It is sent to the school that the student wishes to transfer or to the establishment or organization, which the student wishes to secure a job. It is an established fact that after every assessment, examination or research work, a result must be obtained. In every academic environment there is need to have results to be aware of the student’s performance in order to generate the student’s transcript whenever need arises. To achieve this here in this institution, it involves the registration of courses, student’s personal data, examination score, records updating and so on. The problem been faced now is how to carry out these activities presently, the result processing and transcript generation of all the department are performed manually. These results are used to check the performance of each student in various courses. These results when processed manually leads to many problems such as error during computation, insecurity of results, untidy results after changes must have been effected and work load on the exam officer(s) etc. However, designing and implementing, as well as the computerization of result processing and transcript generation system will reduce these problems to the barest minimum. Providing password can do this, which grants access to only authorized user(s). Corrections or changes are effected without making the work untidy. Also stress on exam officer(s) is or are reduced
1.1 Statement Of Problem
The Institution was faced with the following problems due to their manual method of transcript system:
- Misplacement of student records and grades
- Slow and difficult accessibility to students report and record.
- Delay in transcript transfer to another institution
1.2 Aims and Objectives of the Study
The aim of this study is to provide computerized transcript system to solve the problem faced by the manual transcript system. The objectives of the study are as follows:
- To create database for students records.
- To develop result compilation module.
- To develop result output format for screen view and paper print.
1.3 Significance Of The Study
- Record and reports of students will be easily retrieved with increased data security.
- There will be reduction in the amount of resources, which in turn will lower the cost of processing of student’s transcripts, since information will be stored in a database with reduced data Redundancy.
- School personnel can attend to many student without being over worked.
- Reduction in bulkiness of files and record.
- It will make available the storage room that was used for storage of files.
1.4 Scope Of The Study
This research work are limited to information management system that will handle electronically only students record , to enable easy accessibility and information flow within the Polytechnic.
1.5 Organization Of The Study
This research study has been arranged in five chapters. Chapter one contains the introduction, statement of problem, the aim and objective of the study, significance of the study, scopes, organization of study, and definition of terms.
Chapter two shows the theoretical background and the literature review.
Chapter three is concerned with the system analysis and design, which emphasizes on design, algorithm and flowchart.
Chapter four is the system implementation and documentation which gives the direction of system flowcharts and analysis of modules.
Chapter five contains the constraint of the study, summary, conclusion and recommendations made for the purpose of using a new system.
1.6 Definition Of Terms
TRANSCRIPT: Transcript is an official record of a students work, showing courses taken and grades obtained.
